Terms & Conditions

These Terms & Conditions govern your use of services provided by Indra Clinic, operated by RPH Medica Ltd (“Indra Clinic”, “we”, “us”, “our”). They set out how we provide private medical consultations, clinical assessments, treatment recommendations, prescribing services, and related administrative support to patients (“you”, “your”).


Please read these Terms & Conditions carefully. By accessing or using Indra Clinic services, you agree to be bound by them.


Eligibility


Indra Clinic services are intended for patients aged 18 years and over unless explicitly agreed otherwise by the clinic.


Patients must have legal capacity to consent to treatment.


Urgent & Emergency Care


Indra Clinic does not provide emergency or urgent care services.

Indra Clinic provides:


Remote private medical consultations

Clinical assessments and treatment recommendations

Ongoing follow-up and monitoring where clinically appropriate

Issuing of private prescriptions, where indicated

We do not provide emergency services, inpatient care, or diagnostic services directly.

Digital clinical intake and AI-assisted document processing

Structured questionnaire and patient-reported outcome monitoring systems

Information provided on our website, patient portal, or in clinic communications is for general informational purposes only and does

not constitute personalised medical advice.


Clinical decisions are made only following an appropriate consultation with a qualified clinician. You should not rely on general information to make health decisions without professional advice.



Patient Responsibilities


You are responsible for providing accurate, complete, and up-to-date information about your medical history, medications, and symptoms.


You must promptly inform us of any material changes to your health. Failure to do so may impact clinical decision-making and patient safety.


Appropriate Use of Services


Patients must not misuse clinic services, including abusive behaviour towards staff, fraudulent use of prescriptions, or misuse of prescribed medication.


Indra Clinic reserves the right to suspend or terminate services where patient behaviour presents a safety risk or breaches these Terms.



Consultations & Clinical Decision-Making


All consultations are carried out by appropriately registered and licensed clinicians.


Clinical decisions, including whether to prescribe, continue, amend, or stop treatment, are made solely on clinical grounds. Indra Clinic is not obliged to provide treatment or prescriptions where these are not considered safe or appropriate.


We do not guarantee access to a particular clinician at a specific time.


Indra Scribe

A proprietary AI-assisted clinical transcription and documentation tool developed by JRH Pharma Ltd (trading as JRH ICSP) for exclusive use at Indra Clinic.


Purpose: Indra Scribe securely captures live audio during your consultation to generate verbatim transcripts, speaker-diarised dialogue, and structured clinical summaries for your patient record.


Audio Processing & Data Minimisation: Audio recordings are processed in secure, encrypted segments. The raw audio files are strictly temporary; they are permanently deleted from the processing servers immediately after the text transcript is successfully generated.

Security: The system operates via secure, enterprise-grade Microsoft Azure infrastructure. Your consultation audio and resulting transcripts are strictly confidential and are never used to train public or third-party AI models.


Human Oversight: Indra Scribe is an assistive tool that does not replace clinical judgement. All AI-generated transcripts and clinical summaries must be rigorously reviewed, edited, and manually verified for accuracy by your attending clinician before being permanently saved to your electronic health record.


Script-to-Invoice Processing (Scriptie)


To facilitate efficient access to your prescribed treatments, Indra Clinic utilizes Scriptie, a proprietary administrative engine managed by JRH ICSP (JRH Pharma Ltd).


Function: Scriptie automatically converts clinical prescriptions issued by Indra Clinic into secure invoices and payment links.

Brand Relationship: While your clinical care is provided by Indra Clinic, Scriptie manages the billing process on behalf of the fulfillment provider, Kuramed Pharmacy.


Payment Processing: All financial transactions are processed securely through our integrated payment partners (e.g., Superpayments). Indra Clinic does not store full credit or debit card information.


Clinical Intake AI & Questionnaire Systems

Summari (Clinical Intake AI)


Indra Clinic utilises Summari, an AI-assisted document processing engine developed by JRH Pharma Ltd (trading as JRH ICSP).

Summari:

• Processes uploaded clinical documents

• Extracts structured medical information

• Generates draft summaries for inclusion in patient records


Summari supports administrative and documentation efficiency. All outputs are reviewed by a qualified clinician before being relied upon in clinical decision-making.


Summari does not operate autonomously and does not make independent medical decisions.


Q-Be™ (Questionnaire & Monitoring Engine)


Indra Clinic utilises Q-Be™, a proprietary digital questionnaire and outcome monitoring system developed by JRH Pharma Ltd.

Q-Be™:

• Collects patient-reported outcomes (PROs)

• Administers validated screening tools (including PHQ-9 and GAD-7)

• Tracks longitudinal symptom trends

• Generates structured clinical summaries


Certain responses may trigger automated safety alerts (for example, suicidality indicators), which are reviewed by clinical staff.


Q-Be™ supports — but does not replace — clinical judgement.




Limitations of Remote Consultations


Consultations are conducted remotely using telephone or video technology. Remote consultations have inherent limitations compared with in-person examinations. These limitations may include reduced ability to perform physical examination or assess certain clinical findings.


Where a clinician believes that remote consultation is insufficient for safe assessment, you may be advised to seek in-person medical care via your GP, NHS services, or other appropriate healthcare providers.


Indra Clinic is not responsible where clinical assessment is limited by information not disclosed by the patient or by the inherent constraints of remote consultation.



Diagnostics (Third-Party Providers)


Where diagnostic tests or investigations are required (including blood tests, imaging, or laboratory analysis), Indra Clinic does not directly perform or process diagnostic services.


Diagnostics are arranged and fulfilled by appropriately regulated third-party diagnostic providers (“Diagnostic Partners”).


Indra Clinic’s role is limited to:


Determining whether a diagnostic test is clinically appropriate

Requesting or recommending the investigation

Reviewing and interpreting results as part of your overall clinical care


The Diagnostic Partner is responsible for:


Sample collection and/or testing

Laboratory or diagnostic processing

Quality assurance and regulatory compliance

Diagnostic services are subject to the terms, conditions, pricing, and timelines of the Diagnostic Partner. Fees are payable directly to the Diagnostic Partner unless otherwise stated.



Prescriptions & Dispensing


If a clinician determines that treatment is appropriate, they may issue a private prescription in line with legal and professional requirements.


Unless you object, prescriptions will be securely transmitted to Kuramed Pharmacy, an independent GPhC-registered pharmacy.

Kuramed Pharmacy is a separate legal entity from RPH Medica Ltd.


Indra Clinic:

Does not own or control the pharmacy

Does not set medication or dispensing prices

Does not receive referral fees or financial incentives

Medication costs, dispensing fees, and delivery charges are determined by the dispensing pharmacy and are payable directly to them.


Typical delivery times are up to 5 working days, which may extend to up to 7 working days depending on prescription type, clinical checks, or availability.


You are free to nominate an alternative pharmacy. Where a prescription is issued to a pharmacy outside our usual dispensing pathway, Indra Clinic reserves the right to charge a £10 administrative fee for prescription processing.



Medication Safety and Legal Responsibilities


Certain medications prescribed by Indra Clinic, including cannabis-based medicinal products, may cause impairment of alertness, judgement, or coordination.


Patients are responsible for ensuring they comply with all relevant laws and regulations relating to driving, operating machinery, workplace safety, and possession of controlled medications.


You must not drive or operate machinery if you feel impaired. It is your responsibility to understand and comply with relevant UK legislation including the Road Traffic Act and any applicable medical driving guidance.



Fees, Subscriptions & Ongoing Care


Initial Consultations


Indra Clinic offers an initial assessment pathway consisting of:


A free 5-minute introductory touchpoint, followed by

A free 20-minute initial clinical consultation

These consultations assess suitability for care, explain available services, and determine whether specialist input or ongoing treatment

may be appropriate.


There is no obligation to proceed beyond the initial consultation.



Specialist Appointments & Subscriptions


Where ongoing care, specialist review, or continued prescribing is recommended, patients must enrol in an Indra Clinic subscription or follow-up care plan before booking specialist appointments.

Indra Plus


Subscription plans support continuity of care, clinical governance, monitoring, and safe prescribing. Plan details and pricing are clearly communicated prior to enrolment.


Indra Clinic may decline to book further specialist appointments where a patient has not enrolled in an appropriate plan for ongoing care.



Payments


All subscription fees and chargeable services must be paid in advance.


Subscription fees do not include:


Medication or dispensing costs

Pharmacy delivery charges

Diagnostic tests

These are payable directly to the relevant third-party provider.

VAT Treatment of Fees

Medical services provided by Indra Clinic are supplied by RPH Medica Ltd and are intended to constitute the provision of medical care by appropriately qualified healthcare professionals.


In accordance with UK VAT legislation, services that are supplied for the diagnosis, treatment, or prevention of disease or health disorders are generally exempt from VAT. Where applicable, consultation fees and subscription fees relating to clinical care are therefore charged exclusive of VAT.



Scope of VAT Exemption


The VAT exemption applies only to services that meet the legal definition of medical care. Where services are provided for clinical purposes, they will ordinarily fall within this exemption.


However, not all services offered via the Indra Clinic platform may qualify for VAT exemption. Where a service is deemed to be non-clinical, administrative, or not primarily for medical purposes, VAT may be chargeable at the prevailing rate. Where VAT applies, this will be clearly indicated at the point of payment.



Third-Party Services and VAT


Fees charged by third-party providers, including (but not limited to):


Dispensing pharmacies

Diagnostic service providers

Delivery or courier services

are set independently of Indra Clinic and may be subject to VAT or other taxes in accordance with the third party’s own VAT status.

Any such charges are payable directly to the relevant provider and fall outside the control of Indra Clinic.



Regulatory and Tax Changes


VAT treatment is subject to change based on HMRC guidance, legislation, and individual circumstances. Indra Clinic reserves the right to adjust VAT treatment where required by law.


Any changes will be reflected transparently at the point of payment and in updated Terms & Conditions.

Cancellations & Notice Period


Subscription plans operate on a monthly rolling basis unless otherwise stated.


Patients may cancel their subscription by providing one full calendar month’s notice, submitted in writing.


Subscription fees remain payable during the notice period


Partial refunds are not issued for unused time


Failure to provide the required notice may result in an additional month being charged.



Refunds


Once a consultation or service has been delivered, refunds are not generally available except where required by law.

Dispensed medications cannot be returned or refunded.


Appointment Cancellations & Rescheduling


Appointments must be cancelled or rescheduled with at least 48 hours’ notice. Failure to do so may result in loss of fees.


If Indra Clinic cancels an appointment, you will be offered a refund or rescheduled appointment.



Delays & Service Limitations


We aim to deliver services promptly but cannot be held responsible for delays outside our control, including delays caused by third-party pharmacies or diagnostic providers.


Indra Clinic relies on secure digital infrastructure, telecommunication services, and third-party technology providers. While we take reasonable steps to maintain availability, we cannot guarantee uninterrupted access to online services.


Temporary interruptions may occur due to maintenance, technical faults, or circumstances outside our control.


Limitation of Liability


Indra Clinic provides medical services through appropriately qualified and regulated healthcare professionals exercising independent clinical judgement.


While we take reasonable care in delivering our services, Indra Clinic cannot guarantee specific clinical outcomes.


Nothing in these Terms excludes or limits liability for death or personal injury caused by negligence, fraud, or any liability which cannot legally be excluded under applicable law.


Subject to this, Indra Clinic shall not be liable for indirect or consequential losses arising from the use of our services.

Indra Clinic operates a formal Complaints Policy, available on request or via our website. Complaints are handled fairly, transparently, and in line with regulatory requirements.

Digital Systems & Clinical Safety


Indra Clinic utilises secure digital systems to support the delivery of healthcare services. These systems assist clinicians with documentation, administrative processes, clinical intake, questionnaire monitoring, and prescription workflow management.

Examples of such systems include AI-assisted clinical transcription tools, structured document processing systems, patient-reported outcome monitoring platforms, and administrative workflow engines.


These digital tools are designed to support clinical workflows and improve efficiency, safety monitoring, and continuity of care. They do not replace clinical judgement and do not independently diagnose medical conditions, determine treatment, or prescribe medication.


All clinical decisions are made by appropriately qualified and regulated healthcare professionals following consultation with the patient.


Digital systems used by Indra Clinic operate under formal clinical governance processes, including clinical safety risk assessment, clinician oversight, and incident monitoring, in accordance with applicable healthcare standards.


Where automated alerts or risk indicators are generated by digital systems (for example through questionnaire responses), these alerts are reviewed by clinical staff and do not constitute automated medical decisions.


Indra Clinic takes reasonable steps to ensure the security, integrity, and reliability of its digital systems. However, as with any technology-enabled service, temporary interruptions or technical issues may occasionally occur.


Use of these systems forms part of the overall service provided by Indra Clinic and is governed by our Privacy Policy and applicable clinical governance procedures.



Data Protection


Your personal and health data are processed in accordance with UK data protection law, including UK GDPR and the Data Protection Act 2018, and in line with our Privacy Policy.


This includes processing via secure AI-assisted systems (Summari and Q-Be™) used to structure documentation, monitor outcomes, and support clinical safety.



Changes to These Terms


We may update these Terms & Conditions to reflect changes in law, regulation, or service delivery. Updated versions will be published on our website.



Governing Law


These Terms & Conditions are governed by the laws of England and Wales, and disputes are subject to the jurisdiction of the English courts.
